Spencer Technologies, Inc. (“Spencer Technologies”, “we”, “us”) built the Spencer Smart Tech application (the “App”) as a free workforce application for its field technicians and authorized users. This Service is provided by Spencer Technologies and is intended for use as described here.
This Privacy Policy explains what information the App collects, how we use and share it, how long we keep it, and the choices and rights you have. If you choose to use the App, you agree to the collection and use of information in accordance with this policy. We will not use or share your information except as described here.
The terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, accessible at https://www.spencertech.com/, unless otherwise defined in this Privacy Policy.
Information We Collect and How We Use It
To provide the App’s core functionality — scheduling, task management, time logging, navigation to job sites, and job documentation — we collect the following categories of information:

The information we request is retained and used as described in this policy. The App uses trusted third-party services that may collect information used to identify you, as described under “Service Providers” below.
Location Information
The App requests access to your location only while you are using the App, and only to estimate travel time to a task site. It does not track your location in the background. You can decline or revoke the location permission at any time in your device settings; if you do, ETA features may not function.
Photos and Camera
The App accesses your camera and photo library only when you choose to take or select a photo to attach to a task or to set your profile picture. It does not scan, upload, or access other photos on your device.
Log Data
Whenever you use the App, in the case of an error we and our third-party service providers may collect diagnostic information (“Log Data”). Log Data may include your device Internet Protocol (“IP”) address, device name, operating system version, the App configuration, the time and date of your use, and other diagnostic statistics. This is used to diagnose problems and improve reliability.
Service Providers
We employ third-party companies and individuals to facilitate our Service, to provide the Service on our behalf, to perform Service-related tasks (such as cloud hosting, data synchronization, authentication, and push/SMS delivery), or to assist us in analyzing how the Service is used.
These third parties have access to your Personal Information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
How We Share Information
We do not sell your personal information, and we do not share it for advertising purposes. We share information only: (a) with the service providers described above; (b) with your employer or Spencer Technologies personnel as needed to manage work assignments; and (c) where required by law or to protect our legal rights.
Data Retention and Account Deletion
You can delete your account at any time. Within the App, go to your profile and select Delete My Account. This permanently removes your sign-in identity and the data stored locally on your device.
You may also request deletion by emailing dev@spencertech.com from any device, even if you no longer have the App installed. Work records that Spencer Technologies is required to retain as a system of record (for example, completed time entries and job history used for payroll and billing) may be retained as required by law and our business obligations, and are handled separately from your sign-in identity.
We retain personal information for as long as your account is active or as needed to provide the Service, and thereafter only as required to comply with our legal obligations, resolve disputes, and enforce our agreements.
Your Privacy Rights
Depending on your location, you may have the right to access, correct, or request deletion of your personal information, and to object to or restrict certain processing. To exercise these rights, use the in-app account deletion option or contact us at the email below. We will respond in accordance with applicable law.
International Data Transfers
Spencer Technologies is based in the United States, and the information we collect is processed and stored in the United States. If you access the App from outside the United States, you understand that your information may be transferred to, stored, and processed in the United States, where data-protection laws may differ from those in your jurisdiction.
Security
We value your trust in providing us your Personal Information and strive to use commercially acceptable means of protecting it, including encryption of data in transit. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee its absolute security.
Links to Other Sites
The App may contain links to other sites not operated by us. If you click a third-party link, you will be directed to that site. We strongly advise you to review the privacy policy of every site you visit. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party sites or services.
Children’s Privacy
The App is intended for use by Spencer Technologies’ authorized workforce and is not directed to anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. If we discover that a child under 13 has provided us with personal information, we delete it from our servers. If you are a parent or guardian and believe your child has provided us with personal information, please contact us so we can take the necessary action.
Changes to This Privacy Policy
We may update our Privacy Policy from time to time. You are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page. Changes are effective immediately after they are posted.
